Medical Outreach Clinic: Medical Office Assistant (MOA)

Position: Medical Office Assistant (MOA)- Medical Outreach Clinic 

Location: Terrace, BC

Employment Type: 0.5 to 1.0 FTE

Department: Administration

Contract: 1-Year Term (Possible Extension)

Reports to: Clinic Manager

Salary: Up to $58,500 annually, plus benefits, depending on experience and qualifications

Job Summary:

The Medical Office Assistant (MOA) plays a critical frontline role in a low-barrier, trauma-informed primary care clinic. Working under the direction of the Most Responsible Provider (MRP), the MOA will support the day-to-day clinic operations with a strong emphasis on creating a welcoming, non­ judgmental, and safe environment for all patients-including those who may be navigating complex health, substance use, and social challenges.

This role requires someone who is confident, highly organized, calm under pressure, and experienced in de-escalating emotionally charged situations with empathy and professionalism.

Key Responsibilities:

  1. Create a safe and welcoming environment by using trauma-informed, culturally safe, and person-centered approaches with all patients, particularly those with complex needs.
  2. Manage front-desk duties, including greeting clients, answering phones, booking appointments, and responding to inquiries in a non-judgmental and supportive way.
  3. Act as the first point of contact to de-escalate situations and support clients in distress, while maintaining clear personal boundaries and clinic protocols.
  4. Coordinate daily clinic flow by managing schedules for physicians, nurses, and allied health professionals, ensuring timely follow-up and service continuity.
  5. Maintain confidential patient records using EMR systems, ensuring accuracy and discretion.
  6. Support clinicians by preparing and organizing charts, lab requests, referral forms, and medical documentation.
  7. Handle correspondence including physician reports, billing documentation, Workers’ Compensation claims, and other external communication.
  8. Assist with intake and triage as appropriate.
  9. Ensure medical and administrative supplies are stocked and organized for clinical staff and assist with basic cleaning duties to help maintain a safe and orderly clinic environment.
  10. Participate in ongoing quality improvement, safety planning, and team meetings to enhance patient care delivery.
  11. Provide support and mentorship to new or junior administrative staff as the clinic grows.
  12. Uphold a calm, firm, and compassionate presence, helping to maintain a therapeutic and respectful environment for staff and patients alike.

Required Qualifications & Skills:

  • Grade 12 or equivalent, plus one year of recent, related experience in a medical or community health setting.
  • Completion of a recognized Medical Office Assistant training
  • Strong administrative background, including EMR experience and high data accuracy.
  • Demonstrated ability to navigate challenging interpersonal situations with professionalism, empathy, and boundaries.
  • Training or strong familiarity with trauma-informed care, de-escalation techniques, and violence prevention.
  • Experience working in harm reduction, low-barrier, or community-based health settings is an asset.
  • Proven ability to work independently and cooperatively with other people and agencies to support coordinated, team-based care.
  • Ability to communicate clearly, both verbally and in writing, and to maintain professionalism under pressure.
